Before we get to numbers, the most important question is: what role is the grazing table playing at your event?
There's a big difference between:
- Grazing as the only food — guests are relying on the table for their full meal
- Grazing as a starter or cocktail hour — the table bridges the gap before a main meal
- Grazing as nibbles alongside drinks — light bites throughout the event, not a meal replacement

Nibbles = the table is one part of the food offering and guests aren't relying on it as their main meal. Main grazing = the table is the primary food source for the event. When in doubt, always size up. A fuller table photographs better, impresses guests more, and means nobody goes home hungry.
How long does the event run?
Event duration matters more than most people realise. A grazing table for a 2-hour bridal shower needs significantly less food than the same guest count at a 5-hour birthday celebration.
Our general rule:
- Under 2 hours — size for your guest count as standard
- 2–4 hours — add approximately 20% more to your estimated quantity
- 4+ hours — consider a top-up arrangement or a second course
